Job Description

 

 
RESPONSIBILITIES
 
1.Plan, recommend, implement, administer and monitor policies and objectives set by the Head of Department/Management
 
2.Setting up, administering, supervising and implementing procedures and guidelines for the best practices of the department/subsidiary companies including all subordinates under his supervision
 
3.Provide guidance, advise, feedback as and when required by the Building Managers and/or Senior Property Managers, including department/subsidiaries’ company staff 
 
4.To prepare, plan, implement and monitor all capital and operational budgets for the department/subsidiary company, including all the respective properties / sites and overall department/subsidiary company performance
 
5.To plan, administer, manage, implement and monitor all aspects of best practices for property/facilities services/management including but not limited to property investments, business development and brand promotion
 
6.To manage and monitor collection of rental / service charges from tenants / unit owners
 
7.Administer, oversee and monitor maintenance of company’s investment properties and ensure that all staff including site office staff implement and comply with all the procedures, regulations, guidelines, instructions and policies established
 
8.Meets with the Building Managers and/or Senior Property Managers on regular and periodic basis to resolve all related matters 
 
9.Administer and monitor the performances of all employees/staff directly or indirectly under his supervision including all department/subsidiary company staff
 
10.To perform, administer, implement  or carry out any other job functions, instructions or duties/responsibilities that may be assigned by the Group Managing Director/Chief Executive Officer, Board of Directors, Head of Department/subsidiary company or Senior Management from time to time
 
11.To manage and ensure effective and efficient utilization of all resources in respect of properties, facilities, sites, materials, supplies and equipments 
 
12.To represent the department/subsidiary company in all dealings with customers, clients or third parties in the best interests of the department/subsidiary company 
 
 
 
 
 
AUTHORITY
 
1.To monitor and approve payment to contractors
 
2.To approve / award jobs to external contractors which have been reviewed and recommended by the respective Building Managers and/or the JMB / MC
 
3.Reviews with Building Managers/Senior Property Managers and subsequently with the accounts department with regards to status of operating budget, determines necessary reductions or increases in allocations and charges, if any
 
4.Reviews annual budgets for each property/site with the respective Building Managers and/or Senior Property Managers and to submit the same to the Senior General Manager/Senior Management for approval
 
5.To approve leave applied by Building Managers and employees directly under his supervision
 
6.To approve overtime and mileage claim of all employees under his supervision

Job Requirement

 

QUALIFICATION / COMPETENCY
 
1.Degree in Business Administration / Facilities Management / Asset Management / Architecture Building or anything equivalent
 
2.At least 6-8 years direct working experience in Property/Facilities Management & Maintenance Industry
 
3.Preferably from a Property Management/Investment background
 
4.A team player, independent, tactful, strong PR skills, strong human management skills, good communications skills and capable in managing the entire operations
 
5.Good and competent knowledge of laws and best practices in relation to management of strata properties.
